Job Description

✨✨Office Assistant / Manager✨✨

SmartTalent Kirkland is seeking a detail-oriented and proactive Executive & Administrative Support Specialist to provide comprehensive support across executive, administrative, and operational functions. This role is responsible for ensuring compliance with accounting standards and company policies, maintaining accurate records, and assisting with both internal operations and external customer relations. The ideal candidate is organized, tech-savvy, and comfortable working across multiple departments to keep daily operations running smoothly.

 

TITLE: Office Assistant / Manager

LOCATION: Redmond, WA

SCHEDULE:

During Training: 8am – 3:30pm Monday – Thursday

After Training: 9am – 4:30pm Monday - Friday

PAY: $25 - $30 will increase to $33 - $38 after training

Responsibilities

· Provide executive and administrative support to leadership and staff.

· Ensure compliance with accounting standards and company policies.

· Utilize QuickBooks Desktop, Excel, and Word for financial tracking, reporting, and documentation.

· Navigate customer and government portals and manage general online functions.

· Coordinate and oversee company programs, including:

o Production inventory

o Lot tracking system

o Delivery schedules

o Cost database management

· Manage purchase order processing, cold storage releases, vendor invoice entry, and customer billing.

· Provide customer service support and build/maintain strong client relationships.

· Oversee license renewals with state and federal agencies.

· Support HR functions, including documentation and compliance needs.

· Assist with USDA, FDA, and WSDA documentation and reporting requirements.

 

Qualifications:

· Proficiency with QuickBooks Desktop, Microsoft Excel, and Microsoft Word.

· Strong organizational and time-management skills with attention to detail.

· Experience working with customer and government portals.

· Knowledge of compliance requirements in accounting and regulatory documentation.

· Excellent communication and interpersonal skills.

· Ability to multitask and prioritize in a fast-paced environment.

· Previous experience supporting HR, accounting, or executive teams preferred.
